The Assistant Athletics Coordinator is responsible for indoor and outdoor sports leagues and programs with an emphasis on adult and high school leagues. Sports will include but are not limited to softball, soccer, volleyball, basketball and lacrosse. This position will also support facility operations at the Foothills Fieldhouse, Foothills Sports Arena, and Schaefer Athletic Complex batting cages including supporting special events and opening and closing duties. This position will assist in managing facility schedules, creating league schedules, processing registrations, responding to customer questions, and communications with participants, officials, and vendors.  The general work schedule will be Sunday through Thursday in a mid-shift capacity. Occasional mornings, later evenings, Saturdays, and holidays are expected.

Job Duties:

  • Assist in the daily operations by planning, coordinating, scheduling and implementing the District's recreation and athletic programs, activities, facilities and special events for all ages and abilities in one or more programming disciplines.
  • Assist in hiring, training, scheduling, supervising and evaluating the work of part time staff. Recruit, provide orientation/training and schedule and track program volunteers.
  • Ensures proper scheduling by monitoring scheduling of games and staff/umpires, conducting managers, coach’s meetings and clinics, and recommending and evaluating existing programs.
  • Provide and/or schedule transportation for program events.
  • Provide supervision at program sites by instructing participants in athletic programs and adhering to league rules. Enforce all rules and regulations and stop all unsafe actions.
  • Maintains related records and statistics for programs.
  • Ensures all District equipment is properly maintained and accounted for.
  • Responsible for administrative duties as required; particularly in terms of registration, data entry into recreation software system (Community Pass), reporting on attendance, purchase of supplies, ordering team uniforms and awards.
  • Assist with the preparation and monitoring of the budget, manage revenues and expenditures and prepare financial reports. Prepare purchase orders, RFP’s, and invoice requests. Collect and record payments/fees for programs and outstanding balances. Prepare short and long-range revenue/expenditure projections, check revenue streams through POS etc. Develop and recommend program related costs, fees, and locations.
  • Plans, orders, and distributes awards for annual tournaments and leagues.
  • Recruit and retain participants, including marketing and promotion to the community.
  • Develop and maintain relationships with District employees, vendors, various outside user groups and associations to coordinate their programs, tournaments, special events and league play.
  • Assist with policy enforcement and procedural manuals; conduct periodic staff meetings to provide and gather information, answer questions and respond to complaints and concerns, both internally and externally. Review program rules with teams and resolve any disputes in a timely manner.
  • Observe necessary precautions to assure general public safety; inspect facilities/grounds for safety and maintenance needs.
  • Attend and participate in professional group meetings; stay abreast of new trends and innovations in the field of recreational services.
  • Recognize emergency and dangerous situations by reacting quickly and calmly; administer first aid as needed. Completes Accident/Incident report and notify supervisor immediately.
  • Monitor cash handling procedures and ensure compliance; complete cash reports and bank runs as needed.
  • Respond to public inquiries in a courteous manner; provide information within the area of assignment; resolve complaints in an efficient and timely manner.  
  • Attend and participate in staff meetings, trainings, and orientations.
 
Required Experience
  • Bachelor’s degree in Recreation, Sports Management, Physical Education or directly related field and two (2) years previous coaching experience; or any equivalent combination of acceptable education and years of experience in the field.
  • Current certifications in AED/CPR and First Aid or the ability to obtain such certifications within sixty (60) days of employment.
  • Concussion recognition training is required prior to employment and must be renewed annually.
  • Must possess and maintain a valid Driver’s License or the ability to obtain one within thirty (30) days of employment. Must be insurable by the District carrier at the onset and for the duration of employment.
  • Knowledge of modern office procedures, methods and general office equipment (computer, copier, fax, etc.).
  • Proficiency with applicable computer software applications (Word, Excel, Outlook, Recreation Software, etc.) and POS/League scheduling (Team Sideline).
